Members and invitations

This page covers everything about who has access to your organization in RuleForge — invitations, role adjustments, and per-project access.

What you'll find here

  • Organization members — who's already in.
  • Pending invitations — who was invited and hasn't joined yet.
  • Per-project access — who can view or edit each project.

Invite by email

  1. Open Settings → Members.
  2. Click New invitation.
  3. Provide the email and role.
  4. Send. The invitation goes out by email automatically — you can also copy the link and share manually if needed.

The invited person receives the link and goes through first access.

Create access manually

In some cases (for example, when your company's email system is blocking delivery), you can create access directly:

  1. Open the Create access manually modal.
  2. Provide email, name, initial password, and role.
  3. Save.

Arrange with the person to change the password on first sign-in.

Organization roles

  • Administrator — full control of the organization: members, integrations, billing, settings.
  • Content lead — coordinates projects and has broad access to editorial work.
  • Reviewer — approves or requests changes on reviews.
  • Engineer — main author of content: creates, edits, and tests.
  • Read only — follows along without modifying anything.

Per-project access

In addition to the organization role, you can grant project-specific access:

  1. Inside the project, open Project members.
  2. Choose someone already in the organization.
  3. Select their role for that project and confirm.

For example: someone can be Read only at the organization level but Engineer on a specific project.

Invitation states

  • Pending — sent, not yet accepted.
  • Accepted — the person has joined.
  • Expired — past the deadline. Generate a new one.
  • Linked — used by someone who already had an account.

Common issues

"The user exists but doesn't show up when I try to add them to a project"

Confirm they're a member of the active organization. If they belong to another, you need to invite them to the current one first.

"The invitation was created but the person didn't receive the email"

Verify the address and ask them to check spam. If the company filters external email, ask IT to allow the RuleForge domain.

"I want to remove someone who left the company"

Remove the access on the members screen. If your organization uses SCIM, deactivation can happen automatically when the identity provider marks the person as inactive.
